SportsNow offers you the option of using a digital member contract. A member contract is an internal studio document that sets out the contractual terms between your studio and the member. The contract can be created, digitally signed and administered directly via SportsNow. In this guide, we will show you how to activate member contracts in your studio, send them automatically and administer them manually.

 

Good to know

  • When entering, copying or creating a new version, the previous contract version is automatically replaced.
  • As long as no valid contract version has been entered, the feature is not active.


Step-by-step guide to creating a new contract

On the web

  • In your admin area, click on «Set up my studio» «Further settings»  «Booking settings».
  • Scroll down to the «Member contracts – Settings» section.
  • Click on «Create new member contract».
  • Name: Enter the name of your membership contract here.
  • Valid from: Here you can define the validity of the membership contract.
  • Terms and conditions: Here you can specify the terms and conditions of your contract.
  • Under «Passes» you can select all passes for which a contract should be automatically issued upon purchase.
  • Validity of membership contracts: The validity of contracts can be defined in various ways
    • Validity of the pass. The membership contract is valid until the pass expires: With this setting, the agreement is valid until the expiry date of the purchased pass.
    • Validity of the contract. The membership contract is valid for the period specified above: With this setting, the validity of the agreement itself can be defined for a specific period using «Valid from» and «Valid until».
  • Do not display period of validity in the contractActivate this option if you would like to hide the ‘Validity period’ section in the contract.
  • When you are finished, click on «Create new membership contract» in the bottom right-hand corner.


Further settings

On the web

  • In your admin area, click on «Set up my studio»«Further settings» «Booking settings».
  • Here you will find additional settings.
  • Enable automatic dispatch of digital membership contracts when purchasing a pass: With this setting, digital member contracts are automatically sent to your members as soon as they have purchased a pass. To activate this feature, you must tick the box here.
  • Deactivate online signature for customers. The customer cannot sign the contract online himself: This setting prevents your customers from signing the contract themselves. The contract can therefore only be signed on your device.
  • When you have finished with the settings, click on «Save settings» at the bottom.


Manage member contracts

On the web

  • Go to the customer details of the relevant member.
  • Under «Member contracts» you will find the member's active member contract, as well as replaced or deleted contracts.
  • Issue a new contract: Click here to create a new contract for the relevant member.
  • You have the option of creating a general contract without linking it to a pass, or alternatively a contract with a selected pass. Please note that this action will replace an existing contract with a new one.
  • For an existing member contract, click on «Action» to display all actions.
  • Sign contract: Click here to have the member sign the contract directly on your device.
  • Resend contract: Click here to resend the contract to your member by email.
  • Show contract: Click here to view the contract.
  • Print contract: Click here to print the contract directly.
  • Download contract: Click here to download the contract as a PDF.
  • You can resend the contract to your member, view, print or download the contract.
  • Add remarks: Here you have the option to add a comment to the contract. The comment will then be displayed directly in the contract.
  • Delete: Click here to delete the corresponding contract.
